Operations Coordinator

Position Description

The primary role of the Operations Coordinator is to perform administrative support activities for the Executive Director as it relates to Finance and Office Management. More specifically, the Operations Coordinator is responsible for carrying out the following duties:

Finance

  • Supports the processing of financial transactions subject to the review of the Executive Director and Accountant. This includes but is not limited to: making bank deposits, logging checks, administering invoices, supporting team expense reporting, and maintaining accounting files.

Office Management

  • Screens calls and visitors, answers questions in writing or verbally, and handles routine matters pertaining to the administration of the organization.
  • Oversees office supplies, ordering them as needed and keeping track of inventory and vendors.
  • Oversees use of office space by staff and community, ensuring a schedule is maintained for meeting areas.
  • Supports the day-to-day communications and calendaring for the Executive Director.
  • Maintains files, including documents of a sensitive or confidential nature.
  • Assists in coordinating activities between the organization and various outside parties including corporations, non-profit organizations, foundations, sub-grant recipients and local and state elected officials.
  • Supports other ACT leadership team members as necessary.
  • Performs basic technology systems updates and support. 

Qualifications

  • Associate’s degree or at least 2 years of relevant administrative experience
  • Highly organized and detail-oriented
  • High level of self-motivation and ability to multi-task
  • Strong written and oral communication skills (bilingualism is a plus)
  • Strong interpersonal skills and proven ability to work with diverse stakeholders
  • Strong critical thinking and problem solving abilities
  • Demonstrated interest in the nonprofit sector
  • Some Proficiency in Microsoft Word, PowerPoint and Excel (can become more proficient on the job)
  • Experience supporting a senior executive a plus

Hours and Compensation

The Operations Coordinator is a full-time salaried position with health benefits. The Operations Coordinator is expected to work evenings and weekends when necessary. Compensation for the position ranges from $35,000 to $40,000 annual salary, based on experience.
